Privacy Policy

Effective date: [DD Month YYYY] · Last updated: 19 October 2026

This Privacy Policy explains how [Full Legal Entity Name], operating ChitsApp (“ChitsApp”, “we”, “us” or “our”), collects, uses, stores, shares and protects personal information when you use our website, web application, mobile application and related services (“Service”).

Privacy contact: contact@chitsapp.in or WhatsApp +91 70320 23834.

We aim to handle personal information responsibly and transparently, only for legitimate purposes, and in line with applicable law.

1. Who this Policy applies to

  • Organisers and business representatives who create or use a ChitsApp account.
  • Staff members who get access through an organiser’s account.
  • People whose information an organiser enters into ChitsApp, such as chit members, who are generally not users of the Service themselves.
  • Visitors to our website, including people who use our free chit calculators and chart tools.

The information we process, and our responsibilities, differ depending on how you use the Service.

2. Our role in handling information

When an organiser enters information about chit members, schemes, collections, payouts or receipts, the organiser generally decides why that information is collected and how it is used for their chit-fund business. In that case we process it to provide the software to the organiser. The organiser is responsible for having the lawful basis, notices, permissions and authority to use member information.

Separately, we decide how to use information about account registration, customer support, security, and running our own business, including our website.

Our exact legal role depends on the activity and applicable law. We will meet the obligations that apply to us in each role.

3. Information we may collect

A. Account and organiser information

  • Name, phone number and, optionally, email address.
  • Your password, if you set one, and one-time sign-in codes, protected so that they are not kept in readable form.
  • Your role and permissions in an organisation.
  • Sign-in sessions, including when they were used and details of the browser or device.

If we introduce paid plans or payments, we will explain what payment information is handled, and by whom.

B. Chit and member information

Information entered by organisers and staff may include:

  • Member names and phone numbers, and optionally an email address and gender.
  • Chit names, values, types, schedules and status.
  • Member participation, units and auction bids.
  • Cycle details, recipients, payouts and commission.
  • Amounts due, collections, part payments and outstanding balances.

This information identifies individuals and can be financially sensitive in context.

C. Transactions, receipts and reports

  • Payment amounts, dates and methods (for example cash, UPI, bank or cheque), with a transaction reference and receipt number where entered.
  • Notes, and the reason given when a payment is reversed.
  • A history of who changed what and when, with the values before and after.
  • A log of the reports generated (type, format and chosen options). The report files themselves are created when you ask for them.

Please do not enter passwords, bank credentials or other sensitive details into notes, free-text fields or any file you attach.

D. Information from your phone

  • Contacts: only if you allow it, the app may read your phone’s contacts so that you can pick members. You can refuse or withdraw this permission in your phone’s settings.
  • Stored on your device: your sign-in and, until our servers confirm them, entries you have made but that have not yet been sent.

E. Our website and free tools

  • When you use our free tools, such as the Chit Chart Maker or the calculators, we may record what you entered, along with technical details such as your IP address, browser, the page you came from, device, screen size, time zone and language, and an anonymous identifier.
  • If you share a chart and enter your mobile number to get the link, we store that number with the chart.
  • On our website we may use analytics tools, such as Google Analytics, to understand how pages are used.
  • Your browser stores small preferences, such as your light or dark theme.

F. Support communications

If you contact us, we process the content of your message and your contact details so that we can reply, fix problems and keep a support history.

4. Why we use information

We may use personal information to:

  • Create and manage accounts, and check roles and permissions.
  • Provide the chit, member, cycle, collection, payout and reporting features.
  • Generate receipts and keep transaction histories.
  • Keep your records the same across your devices.
  • Reply to questions, complaints and support requests.
  • Protect the Service against fraud, misuse, unauthorised access and security incidents.
  • Find and fix errors, and improve reliability and ease of use, including how our free tools are used.
  • Send essential service, security or account messages.
  • Meet legal obligations and respond to lawful requests.
  • Establish, exercise or defend legal claims.

We will not use member information for unrelated marketing just because an organiser has entered it.

5. Legal basis and permissions

We handle personal information on a lawful basis suited to each activity, as applicable law requires. Depending on the situation, that may be consent, a service you asked for, performance of a contract, compliance with law or another legally recognised basis.

Where consent is needed, it should be informed, specific and capable of being withdrawn, as the law requires.

Organisers must have the authority to enter and use member information in ChitsApp. We may ask for information needed to look into a complaint or verify that authority.

6. Sharing and service providers

We do not sell personal information.

We may share information, where reasonably necessary, with:

  • Infrastructure providers, such as hosting, database and storage providers, to run the Service and keep backups. The providers we use may change over time.
  • Telephone, email and messaging providers, to deliver one-time sign-in codes and other account messages.
  • Analytics providers, for website analytics (see section 3E).
  • Professional advisers, such as legal, accounting or security advisers.
  • Authorities and other parties, where the law requires it, to answer lawful process, or to protect rights, safety or security.

Within an organisation, information is visible to the organiser and to the staff members given access. We design the Service so that an organisation’s records are separate from other organisations’.

Third-party services handle information under their own terms and privacy policies.

7. WhatsApp and calls

Features may let you open WhatsApp, your phone or another app with a pre-filled message for a member. You send the message yourself, from your own account or device. Unless we say otherwise, ChitsApp does not send it for you.

You are responsible for having the right to contact the members you message, and for following applicable consent and opt-out rules.

8. Security and retention

We use reasonable technical and organisational safeguards designed to protect information from unauthorised access, disclosure, alteration, loss or destruction. These may include access controls, protection of passwords and one-time codes, protected connections and logging.

No system can be guaranteed to be completely secure. Please protect your credentials, keep your devices secure and report suspected account compromise promptly.

A sign-in expires after a period, or sooner, for example when you sign out or an account is deactivated.

We keep information for as long as reasonably necessary to provide the Service, keep business and transaction records, resolve disputes, enforce agreements, meet legal obligations and protect the Service. Chit and payment records may be kept when a single user leaves, because they belong to the organisation and its history.

Retention periods can differ by type of record. When information is no longer needed, we delete or anonymise it as applicable law and our procedures require.

9. Your choices and requests

Depending on the law that applies and your relationship with ChitsApp, you may be able to ask for access to, correction of or deletion of your personal information, withdraw consent where we rely on it, or exercise other rights.

You may be able to delete your own account in the app. Deletion signs you out, and you may be able to restore the account for a limited period by signing in again. After that, the personal details on that account may be erased or anonymised. Deleting your account does not necessarily delete the organisation’s records, such as members, payments and the history of changes.

To make any other request, write to contact@chitsapp.in and tell us which account or information it concerns and what you are asking for. We may need to verify your identity or authority first.

If your information is held in an organiser’s account, we may direct you to that organiser, who decides how it is used, and we will help as the law and our agreements require.

A request may be subject to lawful exceptions, such as record-keeping duties, fraud prevention or the defence of legal claims.

10. Children’s information

ChitsApp is for chit-fund organisers and business users. It is not meant for children to create accounts.

Organisers must not enter a child’s personal information unless they have the lawful authority and have met the applicable requirements. If you believe such information has been entered unlawfully, contact us using the details below.

11. Cookies and analytics

Our website may use analytics tools, such as Google Analytics, and stores small preferences in your browser, such as your theme. You can block cookies and similar technologies in your browser settings, though some features may then work less well. If we add other analytics or advertising tools, we will update this Policy.

12. Where information is processed

Information is processed and stored on servers run by our hosting and database providers, which may be in or outside India and may change over time. Where information is processed outside India, it is subject to the legal requirements and contractual safeguards that apply.

13. Changes to this Policy

We may update this Policy as our Service, providers or legal duties change. The revised Policy will be published with an updated date.

If a change materially affects how information is handled, we will give notice or ask for consent where the law requires.

14. Contact and grievances

For privacy questions, requests or complaints, contact:
